Privacy Policy

Who we are

Vision Builder is a renovation and building business covering Orpington and the surrounding area, within roughly a 20-mile radius. This policy explains what personal information we collect through this website and when you contact us directly, how we use it, and what rights you have over it.

Information we collect

We collect personal information when you get in touch with us, whether that's through the enquiry form on this website, by phone, by WhatsApp, or by email. Depending on how you contact us, this may include:

• Your name
• Your phone number
• Your email address — the enquiry form on this website requires it, so we can reply to your enquiry by email
• Details about the job or project you're enquiring about (for example, which trade or service you need and a description of the work)
• Any other information you choose to share with us when discussing your enquiry, such as your address or preferred site visit times

We use Google Ads to measure whether visitors go on to enquire or message us on WhatsApp, so we know our advertising is working. Advertising storage is denied by default; a cookie banner lets you Accept or Reject it, and your choice is remembered in your browser. See our Cookies Policy for the full detail.

How we use your information

When you contact Vision Builder through the website enquiry form, phone, WhatsApp or email, we use the information you provide to:

• Respond to your enquiry
• Discuss the work you need done
• Arrange a site visit, where relevant
• Prepare and provide a quotation
• Deliver the work, if you go ahead with us, and communicate with you about it
• Keep reasonable records of our business dealings with you, including for accounting and legal purposes

Our legal basis for processing your information

We rely on the following legal bases under UK data protection law:

• Legitimate interests — responding to enquiries and communicating with people who contact us about our services is a normal and expected part of running the business.
• Taking steps to enter into, or performing, a contract — where you ask for a quotation or go ahead with a job, we process your information to prepare that quotation and carry out the work.
• Legal obligation — where we need to keep certain records, for example for accounting or tax purposes.

Who we share your information with

We do not sell your personal information, and we do not share it with third parties for their own marketing purposes. When you submit the enquiry form on this website, the details you enter are sent as an email to us using Resend, an email-delivery service that transmits the message on our behalf — it does not use your information for its own purposes, and this website does not use any analytics platform or advertising network that would receive your enquiry details.

Where necessary to carry out a job you've asked us to do — for example, coordinating with a supplier or another tradesperson working alongside us — we may share the minimum information needed for that purpose. We may also need to share information with our accountant or, where legally required, with a regulator or authority such as HMRC.

How long we keep your information

We keep personal information for as long as reasonably necessary to deal with your enquiry, carry out any work you've asked us to do, and meet our legal and accounting obligations. If your enquiry doesn't turn into a job, we won't keep your details for longer than is reasonably useful to us for that purpose.

Keeping your information secure

We take reasonable steps to protect the personal information you share with us from loss, misuse or unauthorised access, appropriate to a small business of our size.

Your rights

Under UK GDPR, you have the right to:

• Ask us what personal information we hold about you, and get a copy of it
• Ask us to correct information that's inaccurate or incomplete
• Ask us to delete your information, in certain circumstances
• Ask us to restrict how we use your information, in certain circumstances
• Object to us using your information, in certain circumstances
• Ask for your information to be provided to you, or another organisation, in a portable format, in certain circumstances

To exercise any of these rights, contact us using the details below.

Making a complaint

If you're unhappy with how we've handled your personal information, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk.

Links to other websites

This site links out to WhatsApp so you can message us directly. Once you leave our website, your information is handled under that service's own privacy policy, not ours.

This site also loads fonts directly from Google (Google Fonts), which means your browser connects to Google's servers and shares your IP address as part of loading those fonts. This doesn't involve any cookies being set on your device — see our Cookies Policy for more on this.
